The Imdex Limited Group (“the Group”) has a policy of ensuring that information collected and held on individuals who deal with the Group and which is of a personal and/or sensitive nature is treated in a way which complies with the Privacy Legislation. The majority of information collected and held by the Group on an individual relates to applications for employment. Details of Employment Applicants need to be collected in order to properly and fairly assess the suitability of people for employment with the Group. Such details are held in a secure environment and are only made available to third parties and Divisional managers or their delegate/s directly involved in the staff recruitment process. Details of Employment Applicants who are not employed, are retained on file pending a suitable vacancy arising and in the event that this does not occur, these details are permanently destroyed. Applicants for positions with the Group may, on request, be given access to information held on their personnel file except to the extent that the Privacy Act allows for denial of such access. All such requests are handled in compliance with the Privacy Act. Individuals on whom the Group holds personal information may discuss the Company’s Disclosure Policy by contacting the Company Secretary or the Group’s Quality Manager. THE IMDEX LIMITED GROUP PRIVACY POLICY Imdex Limited, its subsidiary companies and operating businesses (“Imdex” or the “Group”) have created this Privacy Policy in order to ensure that the Group complies with relevant privacy legislation. Imdex is bound by the Privacy Act and the National Privacy Principles NNPs that form part of the Commonwealth Government’s Privacy Amendment (Private Sector) Act 2000 that came into effect on 21 December 2001. Imdex will update this privacy policy as required. If it is changed, the changes will be posted on the Imdex website so that individuals are always aware of the sort of information collected, how the information may be used, and under what circumstances it may be disclosed by Imdex. Please note that if at any time Imdex is required by law to release information about you or your organization, Imdex must co-operate fully. This Privacy Policy does not apply to Acts or practices of Imdex that directly relate to employee records of current or former employees. Information Collected Imdex collects information about an individual (“the Information”) in a number of different ways. The majority of Information held by the Company relates to applications for employment which consists of resumes, contact details, bank and superannuation details and the results of pre-employment medicals and drug and alcohol tests. This Information needs to be collected in order to properly and fairly assess the suitability of people for employment with Imdex. Imdex considers that the Information collected in employment applications is vital to properly assess applications for employment. As such, if the information is not provided it may not be possible to assess an individual’s suitability for employment with the Group. Disclosure of Information Imdex discloses the Information to its subsidiary companies and operating businesses as required Information is also provided to certain third parties who assist the Group in its duties, for instance in recruitment. Such information is only disclosed on a confidential basis, by secure means, and the purpose for which the information was originally collected is taken into account. Imdex will not otherwise sell, rent, trade or otherwise supply to third parties any personal Information obtained from you unless your consent is obtained. Imdex develops aggregate (ie not individual) reports which incorporate some of the Information (for example, in reporting to the Australian Bureau of Statistics). However, these reports do not include any personally identifiable information. Security Imdex always takes reasonable steps to protect all of the personal Information we hold from misuse and loss and from unauthorised access, modification or disclosure. This protection applies in relation to information stored in both electronic and hard copy form. Correcting and Updating Information The individual may gain access to Information that Imdex has collected about you by contacting the people named below. We will not charge for responding to such a request, unless we incur unreasonable costs in relation to the Information being requested. Where it is our intention to charge for providing the Information, this will be agreed upon before proceeding.
